Email

SignupKit sends mail to the person who signed up and, if you ask, to you. Guests never make an account. The address they type on the sheet is the address that receives the message.

What goes out on its own

When someone signs up and gives an email address, they get a confirmation. The default subject is “Confirmation: You signed up for” followed by the event title. You do not have to turn that on. If you are not collecting email under Questions & fields, there is no address to send it to.

Your own copy is separate. On the organizer step, “Email me on each signup” sends you a notice every time someone claims a row. Use that when you need to act on each signup as it happens, such as assigning a shift. Leave it off when you would rather open the roster once.

Reminders

Open Questions & fields, then Advanced Options, and turn on Reminder Emails. Set “Send N days before” to a number from 1 to 30. A school event often wants 2 or 3. A conference people travel for wants something closer to 7. The free plan includes 50 reminder emails a month.

The reminder is timed from the date on the date card for that row, or from the event start if the row has no date card. It uses the event’s timezone. A time written only in the slot title is not a date, so the reminder cannot use it.

What you can add to the message

Signup emails, in the same Advanced Options section, is paid. It does not replace the confirmation. It changes what that confirmation says, and the same extras are copied into the reminder.

  • Confirmation subject replaces the default subject line.
  • Extra confirmation note is the paragraph for parking, what to bring, or where to meet. It is not shown on the public page. Anything guests should see before they sign up belongs in the event description instead.
  • Meeting or extra link is a URL such as a Zoom link, with its own title. It goes in the email, not on the public page, which is the right place for a link you do not want forwarded from the signup itself.
  • Downloads are files attached to the confirmation and the reminder. You can copy files you already added to the public page, or attach a file that should only travel by email.

On the free plan those fields are visible and locked. The confirmation still sends with the default subject.
